Moderate (or no) internal forums and blogs

A very interesting recent articles Steptwo this time dedicated to the theme of moderation of discussion spaces on the intranet . The theme is close to my heart, as you know, and I have written many times about it.

The article has the merit to highlight some critical issues and to propose alternatives in the thematic approach of moderation.

In summary, here are the points that Alex Manchester in the spotlight:

- Policy: Every company has its characteristics and its internal dynamics, for which there is no universal approach, but guidelines are still always prepared, and the article link different sources (perhaps the most interesting is the policy of BT, downloadable pdf )

- Identity, each contribution should esserfe associated with a clearly defined, avoiding anonymous discussions. The name should always appear vicnio contribution to (and I would add, make your profile )

- Single sign-on: to reduce stress and improve the user experience user, the authentication mechanism should rely on more general single sign-on inside, so not having to continually re-type your password and UID

- Moderate: The article proposes between choices:

  • self-restraint
  • moderation 'light'
  • moderation "full"

Identifying risks and opportunities for each. I personally believe that there is no clear boundary between these three choices: I believe that things will change much with the passage of time (usually more than passing control to less control) as well as I think sometimes the full moderation on some aspects (eg technical issues) living with self-restraint in other respects.

In any case, the list of factors critical to the success of a proposed debate I would like to add some features not listed in the article:

- Report abuse: add this item to any contribution you can loosen the reins, leaving the community the task of a first filter, as well as give a clear signal about the fact that not everything is permitted

- Rate this contribution: it allows to clearly identify the content deemed best, feeding a virtuous circle

- Facilities: The whole system must be easy to use. Simply. If it becomes just another application cumbersome to use or portray people do not even consider the height to be involved (Hood)

- Keywords: keep a nice list of keywords "hot" and let them get a warning whenever they are written. This reduces the need for precise control but still be placed in the situation

- Black List and Gold List: people will end up in "black list" or "Gold List" depending on their behavior, condition differences in access privileges.

Anything else?

Things that will trigger an uproar in your internal forum

Small handbook of survival for community managers intranet forum

1) Traps
Avoid fall (and dropping your users) in the classic "trap" or to create or reply to messages that create only resentment and misunderstanding, especially on "Systems" would absolutely be avoided.

Examples:

- Religious claims: God exists / does not exist, I'm sure
- Attacks on a personal basis: The fellow is really a jerk Pincopallino
- Policy Statements: thanks to our politicians ...
- Generic attacks on corporate hierarchical: thanks to our leaders
- Couplings on a personal basis to public figures: this is because Berlusconi / Veltroni / Bossi / a ...
- Campanile Territorial We in the north / south is that we work, not you
- Claims on Foreigners: this is because the Moroccans / Romania / Sweden / South Tyrol are ....

If one of these messages, even without the author is aware is exactly trigger a brawl in a short time. The editors should monitor, prevent, cure

2) Messages underhanded

Then there are phrases and statements more insidious because they attack only indirectly to something or someone, and therefore doubly pericoloee such

- I'm sure those parts work, right ... ;-)
- Sure, we'll find in the procedures, right
- We are in contact with customers every day. But we look forward to your "valuable" information
- I'm sure you Milano / Palermo could you do it better
- With your salary you can afford it :-)

These seem innocent, with all their apparatus facin loves are actually bombs watchmaking. Be handled quickly and intelligently.

3) the staff, parochialism, chattismi various

Type:

- Ehiiiii, hello to everyone from Catanzaro, there is someone in Syracuse?
- Miriam, you're forteeeeee
- Does anyone know how to discard fonzies. I fameeeee

Generally should be avoided all personal messages they increase the "noise" all attacks "ad personam", gl all the arguments (too) off topic. And in general all that can be managed with other one-on-one.

It 'obvious that this is not censorship, just common sense. Prevention is always better than cure
:-)

Por (no) chick

For the heading, "the frivolities of intranet management" you point out this funny news item from today, thanks to a powerful software , you can check for porn on the intranet .

Please delete the Carella colleagues "Silvia Saint" from the disk K: network. The folder 'drunk New Year with the interns' instead may remain: the software does not track the mental images.

Internal blogging rules

Toby Ward has collected around a bit 'of policy for corporate blogging . lists some of them explicitly

  • No anonymity. Each post must have the author's name, with a link to your email
  • It takes a sentence saying that the blog and its contents are the result of the views of the person and not only and not necessarily the employee.
  • In the footer of the blog there must be a link to policies relating to privacy and confidentiality of information, with implicit support of all
  • Every employee should have the prior consent of its head to keep the blog
  • Mutual respect for the company, its customers and employees is critical and should be reflected in what is written
  • No language insignificant developed a style guide that gives guidelines to use than the tone (for example, professional officer, conversational, without jargon, etc.)

Ok ok, I think some of these are questionable, and it is also true that these sets of simple rules for corporate blogging are growing like mushrooms, but it is certain that, even for the internal blog, a policy whatever is necessary.

What could it be? We try to list some points

- If you make a blog post inside each card will have a link to your pager. You are traceable at all times and we all know who you are.
- If you make an internal blog explains exactly what is its purpose, its organizational boundaries, its rules. Whether you talk about martial arts because you're a fan or new product that followed as professional marketing, however, explain it immediately.
- If you make an internal blog, you undertake to update regularly, in response to news that captain.
- If you make an internal blog you agree to respond to the comments of colleagues. Even those idiots, even those that you (and only you) considers the pricks.
- If you make an internal blog informs your readers that insults, allegations and taunts penny will be brutally erased. We are in business and are here to help. If someone wants to come to blows, there is the outer courtyard. If someone wants
- If you make an internal blog you agree to be complete: not only text but also photos, project documentation and all supporting materials. Maybe for you things are predictable but not your colleagues
- If you make an internal blog and someone wants to participate as an author you accept it with joy and do not you make him a snob. Got it?
- If you make an internal blog, you undertake to use language appropriate to your audience: if the technicians who belong to your tribe you can use your specific jargon, if a wider audience tries not to use jargon incomprehensible.
- If you make an internal blog is always trying to specify if what you say is your point of view, from simple co-worker or lover, or an official position of the company. If you are Human Resources and tell me that this year budegt training was reduced, we want to know if it is a rumor or official data.
- If you make an internal blog, you undertake to be as transparent as possible and true to the information on the projects or innovations within the company that publishes. If things are bad you say, if things are slow we explain why. Etcetera.
- If you make an internal blog and you get to make arguments with fellow readers instead of helping them or treat them as idiots because they do not know what you, drawing you close the blog without you take it
- If you make an internal blog and nobody gave a damn about what you say, drawing you close the blog without you take it.

Black List and Gold List

Participants (or employees) to a project intranet (especially in larger companies) are not all equal: some involved in peripheral others are thrown headlong, some interventions are appropriate and interesting, others go off topic and cazzeggiano : churn out some "professional" products, others are contributing so much goodwill. Some want to build, others destroy (although it is often said that the former are the overwhelming majority).

Often we focus on procedures for controlling operations negative, rarely on procedurre to emphasize the positive (I'm thinking, of course, to operations in the forums and message boards, but also applies to the use of distributed publishing platform and entry form materials).

You can certainly create warning systems (notices to the editor when certain words appear in a forum) and you can create "black lists" that bandisno user participation as "inappropriate" (trolls, flamers, fuck number etc). You can also create systems as the "yellow card" to alert untete who committed the information policy that will not be tolerated Request more.

You can (and should) do all this, but it should simultaneously activate procedures that emphasize the good and productive.

How? For example, creating a ranking of the best and most active users, giving them a more "formal" within certain areas of the intranet or addirittutrra, creating a "gold list" of untenti that, for their merit, will benefit from better autonomy on the intranet.

Here's an email that warns a user who is entering the "gold list":

"The drafting of the intranet has seen fit to place you, from this moment, the" gold list "of users who have posted a large number of good quality materials and never violate the policy.

We help support a valuable asset for the future of our communty: from this moment your materials will no longer see the view of the establishment, but once posted, go online.

Sincerely

The editors'

If you put the pictures, ask permission

E 'in place for three weeks, but I only know now: The Guarantor for the privacy has issued a directive for the treatment of personal data in the workplace. It 'also cited the company intranet (exactly at this point ).

I fear that we must start asking the disclaimers ...

Forum on the intranet? Better with the policy

Forums are beautiful, fun and useful, but it's better guard a bit '. Above all, establish clear agreements from the outset. Therefore, as the first post of each open forum, always insert a minimum of good education policy. Perhaps it may seem a bit 'harsh, but believe it is necessary. Here it is.

Hello everyone! are the board administrator. You can contact me for any connection problems, visualization and other technical elements. Here are the policies of the forum to read and follow carefully.

1) Specify always so quick and meaningful, the subject of messages
2) You are in a business forum and you are required to respect the rules of politeness and propriety
3) Do not use foul language and offensive. These behaviors will not be accepted under any circumstances and your messages will be deleted. The systematic violation of this rule will be excluded, temporarily or permanently from the forums
4) Do controversy just for the heck of it: these behaviors do not give any value and disturb the other participants. violation of this rule will be excluded, temporarily or permanently from the forums
5) Always try to be proactive and not "destructive." Use this space as an opportunity to gain knowledge or share opinions, not to destroy systematically the views of others
6) Do not deviate from the topic of the forum and do not put personal messages or misplaced. These messages will be deleted
7) does not lead "opinion wars" on the network through messages and replies: if you have personal discussions, and 'solve them via email correspondence between the parties concerned
8) Remember to use capital letters if you want to have an effect "screamed" to your message, otherwise, always use lowercase
9) Do not post the same message several times
10) Avoid personal message exchanges (greetings, dates, etc.)..

Thank you and good discussion
